Businesses in Opus can function with just Operators.
If you’re a Franchised based business, then creating Franchises to manage your Franchises, Franchisees and contractually obligated jobs to be assigned to them can be done as below.
Only Franchisors & Business Owners can add Franchises.
Minimum Information Required:
- Franchise Name (Title)
- An valid Operator
- The service type the Franchise provides
- The Region the Franchise belongs to
It’s recommended you have further information about the Franchise, so that you have a complete profile of their information centralised within Opus.
To Begin Adding a Franchise
Firstly within Opus navigate to the Franchise menu item under the sidebar menu and click it.
On the Franchises page view, you will have a list of all Franchises separated by tabs that are:
Active, Temporary Disabled & Permanently Disabled.
To add a new Franchise, click the +Add Franchise button in the top right of the screen.
You will now be on the New Franchise Screen with a list of fields to complete to add the Franchise.
Only the required fields are needed to add an Franchise to Opus. It is ok to leave non-required fields blank if they are not needed (E.G. Address field).
Title *Required
This is the name that the Franchise will be know as throughout the Opus System.
Company Name
A field for a company name if the Franchise has one (if it is operating under a trust or similar scenario).
Mobile number
A mobile phone number associated with Franchise.
Phone number
An alternative or land line phone number associated with the Franchise.
Email
This is the email address that the Touch Point Email will be sent from, if no email or correct email is set, then the Touch Point Email will not send.
The email address must match the domain name set on Opus for this to function, clarify with your business owner the domain name that has been set for your business.
E.G for Opus Systems we would set the domain to opussystems.com.au and any email address such as franchise@opussystems.com.au/help@opussystems.com.au or similar would work as the domain name matches the domain that has been set up. However opus@gmail/opussystesm@hotmail.com or similar would not work as they do not match the domain that has been set up.
Typically this domain will always be your business’ domain. One domain per business can be set.
Business Operator *Required
This is a drop down field that will contain a list of all Operators within the business.
If an Operator is not appearing here and you believe they should do, navigate to the Operators menu item and check:
- That you can see them under the Operators menu
- That they are not temporarily disabled
- That they are not permanently disabled
If you still cannot find or associate the Operator, ensure that the Operator was added to Opus Systems and verified their email.
You can attach a single Operator to multiple franchises, each franchise does not need a unique Operator.
Note: Once you have added an Operator to a Franchise and saved/added that Franchise to Opus, the Operator will become a Franchisee and appear under that tab in the Operators list.
Region *Required
The region that the Franchise belongs to. Regions are used in Up For Grabs as catchment areas for jobs and Franchises nearby to provide that service.
If you are not using regions there will always be the states of Australia available to select here I.E. Western Australia, Victoria, New South Wales…Etc.
Select the appropriate region applicable to the Franchise, just selecting the state is fine, having the Operator and the Franchises region match or not match does not matter (as long as they remain within your associated state). When the Operator belong to a Franchise, the Franchise’s Region overrides the Franchisee’s (Operator) setting while they are a Franchisee.
Franchise Type *Required
The service type that the Franchise provides, this is the top level of the service types your business offers.
This is used in Up For Grabs to associate the correct jobs with the correct Franchise.
Subscribe to Up For Grabs Notifications
Default: No
This is a Yes/No selection box to determine if the Franchise should be included for Up For Grabs.
If no is selected, the Franchise will not receive Up For Grabs notifications, nor be eligible to Accept any Up For Grabs jobs.
Once an Operator is added to a Franchise and becomes a Franchisee, the setting on the Franchise will override any setting on the Operator.
Address
An address associated with the Franchise
ACN
The Australian Company Number for the Franchise (if applicable).
ABN
The Australian Business Number for the Franchise.
Commencement Date
A date picker field to allow you to record the date that the Franchise began.
Contractor Fee
A currency field to record the associated contractor fee with the Franchise.
Service Fee
A currency field to record the associated service fee with the Franchise.
Communication Fee
A currency field to record the associated communication fee with the Franchise.
Marketing Fee
A currency field to record the associated marketing fee with the Franchise.
End of Term Date
A date picker field to allow you to record the end of the Franchise’s term.
Lead Fee
A currency field to record the associated lead fee with the Franchise.
Uniform Fee
A currency field to record the associated uniform fee with the Franchise.
Uniforms Issued
An internal tracking field for you to use to track uniforms issued to the Franchise.
Upload Fields
You can use the associated upload fields to upload documents, scans or similar associated to the correct field.
They will then be stored against the Franchise and you can view them as needed.
Once you’ve completed the fields needed or that you would like, make sure you click Save.
If you’ve forgotten to fill in any required information or put in incorrect field values then on hitting Save, you will be back on the same page with the fields containing errors highlighted in red.
Correct any issues and try hitting Save again.
The adding of an Operator is only successful if you can press Save and are redirected to the Franchises Page.
Make sure you scroll down and check the Franchise was added correctly.
You can now begin assigning jobs to the Franchise, you can also begin setting up a contract for the Franchise so jobs are automatically assigned to the Franchise.
THE FRANCHISEE (OPERATOR) WILL NEED TO HAVE A CONFIRMED EMAIL TO GAIN ACCESS TO OPUS TO BEGIN RECEIVING JOBS
It’s recommended after creating a Franchise, you set up any associated contract for auto assignment of jobs right away.
